Rehab Centre and Mental Health Software for Kenyan Facilities

Withdrawal scoring that triggers the right PRN order, structured therapy and progress reviews, aftercare check-ins, and residential billing with deposits and cover limits.

What’s included

  • CIWA-Ar, COWS and DAST-10 instruments, scored by the server rather than added up by hand
  • Detox protocols: a withdrawal score above the threshold raises the PRN drug-chart order, and the next score falls due from the dose
  • Individual sessions, group therapy, treatment goals, substance-use events and progress reviews
  • Care plans on the ward chart and a visitor log for residential programmes
  • Discharge summary that closes the episode and schedules aftercare check-ins
  • Residential billing: deposits credited on receipt, treatment packages, running patient statements
  • Insurance pre-authorisation and cover limits drawn down as claims are submitted
  • Mental health records restricted to authorised clinicians, with every access logged

Rehab centres in Kenya mostly run on three things: a paper file per resident, an Excel sheet for the money, and a WhatsApp group for everything else. It works until a family disputes a bill, an insurer asks for the clinical justification for week six, or the one person who understands the spreadsheet leaves.

AfyaConnect treats rehabilitation as what it is clinically: a long episode of care with measured withdrawal, structured therapy and a planned discharge, sitting inside the mental health record.

Detox, measured rather than guessed

The first days of a residential admission are the medically risky ones. The record has to show that withdrawal was assessed on schedule and treated when it should have been.

  • Validated instruments. CIWA-Ar for alcohol withdrawal, COWS for opioid withdrawal and DAST-10 for screening, scored by the server so a total can never exceed what the instrument allows.
  • Protocols that act. The facility configures its detox protocol. When a score crosses the threshold, the corresponding PRN order on the drug chart falls due. The next assessment is timed from the dose, not from a fixed clock.
  • An audit trail an inspector can follow. Every score, every dose and every missed assessment is visible after the fact.

The therapeutic programme

Individual sessions, group sessions, treatment goals, substance-use events and periodic progress reviews are recorded as structured entries rather than paragraphs in a notebook. That is what lets a clinical lead see, across the whole house, who is progressing and who has stalled, and what lets you answer an insurer's question about week six with something better than a recollection.

Care plans sit on the ward chart beside nursing observations. A visitor log records who came and when, because in residential programmes that matters clinically as well as for security.

Discharge and aftercare

Discharge produces a summary and closes the episode, and schedules aftercare check-ins. Relapse risk is highest in the weeks after a resident leaves, and a check-in that is on a list is far more likely to happen than one that depends on someone remembering.

The money

Residential care is paid differently from a clinic visit:

  • Deposits are credited on receipt and charges accrue against them.
  • Packages let you price a 28-day or 90-day programme as the product it is.
  • Statements show a family exactly what has been paid and used at any point, which ends most billing disputes before they start.
  • Insurance cover limits and pre-authorisation are tracked per patient, so you know before the claim, not after the rejection, that a resident has exhausted their cover.

Privacy

Mental health and addiction records are the most sensitive data a facility holds. Access is restricted to clinicians with mental health permission, tighter than the facility default, and every access is logged. Our guide to the Data Protection Act and patient data covers what the law expects of you.

Rehab runs alongside the rest of the platform, so a centre that also runs an outpatient clinic, a pharmacy or a laboratory does it on one record. See the full hospital management system or register your facility.

Frequently asked questions

Is a general hospital system good enough for a rehab centre?
Usually not. A general hospital system is built around short outpatient visits and admissions measured in days. A residential rehab programme runs for weeks, the clinical record is scales, sessions and progress reviews rather than prescriptions alone, and the money is deposits and packages rather than a bill at the end of a visit. AfyaConnect runs rehab inside a mental health episode so those things are first-class rather than squeezed into free text.
How does withdrawal monitoring work?
Nurses record CIWA-Ar for alcohol or COWS for opioids at the bedside. The score is calculated by the server against each item's maximum, so a mis-keyed item cannot inflate the total. When the score crosses the threshold in the detox protocol the facility has configured, the PRN order on the drug chart becomes due, and the next assessment is scheduled from the time of that dose.
Who can see a rehab patient's notes?
Only staff with mental health access. The rest of the facility, including a general clinician who happens to see the same patient for something else, does not see the therapy notes. Every view is logged with the user and the time, which is what the Data Protection Act asks you to be able to show.
Can we take a deposit at admission and bill against it?
Yes. A deposit is credited to the patient account the moment it is received, charges accrue against it during the stay, and the family can be given a statement at any point showing what has been paid, what has been used and what remains. Payments taken from the deposit are not double-counted on the statement.
Does it handle insurance for residential treatment?
Yes. Pre-authorisation is requested and recorded against the patient's cover, and each claim draws down the authorised amount when it is submitted. If a claim would take the patient past their cover limit, the system stops and asks for a reason rather than letting the overrun surface weeks later as a rejected claim.
